In plain language
- We collect only what a fair competition needs — names, a contact, and the project — and we never sell your data or use it for advertising.
- For students under 18, a parent, guardian or teacher must consent before their details are submitted, and you may give a guardian's email instead of the child's.
- Judges never see participants' contact details — only the project and the names needed to judge fairly.
- Your data is stored securely over encrypted connections, access is limited to what each role needs, and it is kept only as long as needed.

Who we are
Jurika is a competition-judging platform operated for Persatuan Kemajuan STEM & Inovasi Kelantan (PaKSI Kelantan) and developed by SyncMind Consulting & Services. PaKSI is the party responsible for the personal data processed on this platform.
What we collect
- Judges: name (and any title, e.g. Dr.), email, phone/WhatsApp, institution, job title, workplace/office address (used on appointment letters), sector, highest qualification, levels taught (for educators), location, areas of expertise, languages, and a short bio. Optionally, if a judge applies for a verification badge, any note and supporting documents they submit (e.g. identity or credential proof) — stored privately, seen only by a PaKSI administrator to confirm identity, and removed if the account's data is erased on request.
- Competition participants: team name; each member's full name and an email address (which may be a parent's or guardian's email for members under 18); school/organisation and its location (state/region and country, optional); a responsible adult (teacher/parent/guardian) and any additional adults a team chooses to name (e.g. a second teacher) — their name, and optionally email and phone/WhatsApp; project title, description, and any links you submit — plus any additional information a specific competition's organiser asks for on its entry form. Member, responsible-adult and additional-adult emails are used to send confirmation, result, and certificate emails.
- Hosts/organisers: name, email, and contact details; the organisation's profile (name, type, registration number, website) and the organiser's position in it; and, for an application to become a host, the message and any supporting documents submitted with it (stored privately, seen only by a PaKSI administrator).
- Technical: basic log data (e.g. IP address) used to keep the service secure.
Why we use it
To run competitions and judging, match judges to competitions, deliver scoring and results, issue certificates, and contact you about a competition you are taking part in. We do not sell your data.
Judges can switch off open calls for judging and the “results are in” note in their profile; emails about a competition they are on — invitations sent to their address, deadline reminders, and their appointment letter and certificate — are always sent.
Teams are emailed about their own entry: a confirmation when they submit, and an update if the entry is withdrawn, disqualified, removed or marked absent. The organiser may choose to tell the team personally first, before that update is sent.
Who can see it
Submission details are shared with the judges and organisers of that specific competition for the purpose of judging. Judges' contact details are visible to the host of a competition they have joined, so the host can follow up. Published results (team name, project, school/organisation, award) are made public on the results page once the host publishes them. Published results pages may be indexed by search engines; if a participant's details are removed, we update the page, but search engines may take some time to refresh their copies.
On a face-to-face event day, the organiser may give helpers a roll-call link protected by a passphrase. It shows the teams or judges to mark present, with the contact numbers needed to reach them (teams' phone numbers, judges' WhatsApp numbers), and stops working once the competition is complete or the organiser cancels it.
Service providers
We use trusted service providers to operate Jurika — for example an email-delivery service to send confirmations, results, and certificates, and cloud storage/spreadsheet tools (such as Google) where an organiser exports entries. These providers process data only on our instructions. We do not sell your data. Each competition's files are kept in a private Google Drive folder. That competition's organiser may be given read-only access to the folder (the entry and rubric spreadsheets, certificates, and the competition's results records), and can edit the entry and rubric spreadsheets they work on, for running and recording that competition only. This access is removed if the organiser's account is suspended, or when the competition is handed to another organiser.
Certificates are delivered as a link to one folder per team, emailed to the team's contacts. Anyone with that link can open the folder, so please share it only within the team. The certificates show each person's name with competition details (such as team, project and award) — never emails or phone numbers. If the organiser adds a verification QR code, anyone holding the certificate can scan it to confirm it is genuine: the check (jurika.paksikltn.org/verify) shows only what the certificate itself carries — the name, role, team, award, competition and organiser, and the date the code was issued — and is not searchable or listed anywhere. If a code is cancelled, the check says so and may show the reason. If a person's data is erased on request, their certificate code stops working, and an older copy replaced by a corrected one keeps no personal details.
Jurika documents for judges. Judges can download a Jurika confirmation of their appointment and, after the competition, a Jurika record of judging service. Each carries a verification code: anyone who has the code (for example, an employer the judge gave the document to) can check it at jurika.paksikltn.org/verify, which shows only what the document itself prints — the judge's name and title, the competition, the organiser, the dates and venue, and the number of entries evaluated — never contact details or scores. The verify page is not searchable or listed anywhere. These documents are issued for every competition; only PaKSI can switch them off for a competition, in exceptional cases. If a judge's data is erased on request, their codes stop working. The organiser's judge certificate can carry a verification code in the same way.
Data stored outside Malaysia: some of these providers (such as Google for storage and spreadsheets, and our email provider) store and process data on servers located outside Malaysia. By using Jurika you consent to your data being transferred and stored overseas by these providers for these purposes, protected by their security safeguards.
How long we keep it
We keep competition entries, judging records, and results for as long as needed to run the competition, issue certificates, and keep an accurate record of past competitions — and no longer than necessary, unless a longer period is required by law. Judge and host accounts are kept while active; you may ask us to close yours at any time. You — or the responsible adult for a young participant — can ask us to delete or anonymise a participant's personal details at any time, and we will (anonymising removes identifying information such as name and contact details, so the entry can no longer be linked to a person).
Students and young participants
Many competitions involve school students, including those under 18. Before submitting a student's details, the person submitting must have the consent of the student's parent or guardian to collect, process, and — where results are published — publicly share that student's name and project. For members under 18 you may provide a parent's or guardian's email instead of the child's; we use it to send confirmations, results, and certificates. Parents and guardians may contact us at info@paksikltn.org to access, correct, or delete their child's data.

How we protect it
Access is invitation-based and role-restricted: judges see only the competitions they are assigned to, and hosts see only their own competitions. Passwords are stored hashed, login links are single-use and expire, and access is limited to what each role needs. No system is perfectly secure, but we take reasonable steps to protect your data.
Your rights
You may request access to, correction of, or deletion of your personal data; request a copy of your data in a portable form; and withdraw consent at any time. To do so, contact us at info@paksikltn.org.
