In plain language
- We collect only what a fair competition needs — names, a contact, and the project — and we never sell your data or use it for advertising.
- For students under 18, a parent, guardian or teacher must consent before their details are submitted, and you may give a guardian's email instead of the child's.
- Judges never see participants' contact details — only the project and the names needed to judge fairly.
- Your data is stored securely over encrypted connections, access is limited to what each role needs, and it is kept only as long as needed.

Who we are
Jurika is a competition-judging platform operated for Persatuan Kemajuan STEM & Inovasi Kelantan (PaKSI Kelantan) and developed by SyncMind Consulting & Services. PaKSI is the party responsible for the personal data processed on this platform.
What we collect
- Judges: name, email, phone/WhatsApp, institution, location, areas of expertise, languages, and a short bio. Optionally, if a judge applies for a verification badge, any note and supporting documents they submit (e.g. identity or credential proof) — stored privately, seen only by a PaKSI administrator to confirm identity, and removed if the account's data is erased on request.
- Competition participants: team name; each member's full name and an email address (which may be a parent's or guardian's email for members under 18); school/organisation; a responsible adult (teacher/parent/guardian) and any additional adults a team chooses to name (e.g. a second teacher) — their name, and optionally email and phone/WhatsApp; project title, description, and any links you submit. Member, responsible-adult and additional-adult emails are used to send confirmation, result, and certificate emails.
- Hosts/organisers: name, email, and contact details.
- Technical: basic log data (e.g. IP address) used to keep the service secure.
Why we use it
To run competitions and judging, match judges to competitions, deliver scoring and results, issue certificates, and contact you about a competition you are taking part in. We do not sell your data.
Who can see it
Submission details are shared with the judges and organisers of that specific competition for the purpose of judging. Judges' contact details are visible to the host of a competition they have joined, so the host can follow up. Published results (team name, project, school/organisation, award) are made public on the results page once the host publishes them.
Service providers
We use trusted service providers to operate Jurika — for example an email-delivery service to send confirmations, results, and certificates, and cloud storage/spreadsheet tools (such as Google) where an organiser exports entries. These providers process data only on our instructions. We do not sell your data.
Data stored outside Malaysia: some of these providers (such as Google for storage and spreadsheets, and our email provider) store and process data on servers located outside Malaysia. By using Jurika you consent to your data being transferred and stored overseas by these providers for these purposes, protected by their security safeguards.
How long we keep it
We keep competition entries, judging records, and results for as long as needed to run the competition, issue certificates, and keep an accurate record of past competitions — and no longer than necessary, unless a longer period is required by law. Judge and host accounts are kept while active; you may ask us to close yours at any time. You — or the responsible adult for a young participant — can ask us to delete or anonymise a participant's personal details at any time, and we will (anonymising removes identifying information such as name and contact details, so the entry can no longer be linked to a person).
Students and young participants
Many competitions involve school students, including those under 18. Before submitting a student's details, the person submitting must have the consent of the student's parent or guardian to collect, process, and — where results are published — publicly share that student's name and project. For members under 18 you may provide a parent's or guardian's email instead of the child's; we use it to send confirmations, results, and certificates. Parents and guardians may contact us at info@paksikltn.orgto access, correct, or delete their child's data.

How we protect it
Access is invitation-based and role-restricted: judges see only the competitions they are assigned to, and hosts see only their own competitions. Passwords are stored hashed, login links are single-use and expire, and access is limited to what each role needs. No system is perfectly secure, but we take reasonable steps to protect your data.
Your rights
You may request access to, correction of, or deletion of your personal data; request a copy of your data in a portable form; and withdraw consent at any time. To do so, contact us at info@paksikltn.org.
